This policy explains how Rymetrix collects, uses, discloses, retains, and protects personal information through rymetrix.com and related business inquiries. Rymetrix aims to handle personal information in accordance with applicable Canadian privacy law, including the Personal Information Protection and Electronic Documents Act (PIPEDA). Rymetrix is responsible for personal information under its control and has designated a privacy contact to receive questions and requests.

When you email us, call us, or discuss potential services, we may collect:

• Your service interests and whether the request is for ongoing or one-time help.
• The information you include in an email, phone call, project discussion, quotation request, or support inquiry.
• Basic technical and security information generated when the website is accessed, such as an IP address, request time, browser information, and server logs.

Please do not send passwords, payment-card details, health information, government identification, or other highly sensitive information by ordinary email.

2. Why we collect and use it

Rymetrix uses personal information to:

• Prepare a quotation, proposal, scope of work, or service agreement.

Inquiry information is not used for unrelated marketing without additional consent or another lawful basis. Rymetrix does not sell personal information.

Rymetrix limits disclosure to what is reasonably required. The website is hosted by Vercel. Email, telecommunications, cloud storage, accounting, customer-management, scheduling, payment, support, and professional advisers may process information when required for their services.

Providers are expected to use information only for the services they provide and to protect it appropriately. Information may also be disclosed when required by law, to respond to lawful requests, to investigate misuse, to protect rights or safety, or as part of a business reorganization subject to appropriate safeguards.

5. Processing outside Canada

Vercel, email providers, and other providers may process or store information outside Canada, including in the United States. Information handled in another country may be accessible to courts, law-enforcement agencies, or regulators under that country’s laws. 6. Cookies and analytics

The current website does not intentionally use advertising pixels, behavioural advertising, or non-essential analytics cookies. Hosting and security providers may still process essential request data and server logs. If non-essential analytics or advertising technology is added, this policy and any necessary consent controls will be updated before it is enabled.

7. Retention

General inquiries that do not become a client relationship are normally deleted or anonymized within 24 months after the last meaningful interaction. Client and transaction records may be kept longer when reasonably required to deliver services, maintain warranties and business records, resolve disputes, or comply with tax, insurance, contractual, and legal obligations. Information that is no longer required is securely deleted, anonymized, or destroyed.

8. Safeguards

Rymetrix uses safeguards appropriate to the sensitivity and amount of information, including access controls, secured accounts, encrypted connections, limited provider access, software updates, and staff or contractor confidentiality expectations where applicable. No internet or storage system is completely secure, so absolute security cannot be guaranteed.

9. Access, correction, and complaints

You may ask whether Rymetrix holds personal information about you and request access, correction, or deletion, subject to legal exceptions and record-keeping requirements. Rymetrix may need to verify your identity before completing a request. If access cannot be provided, the reason will be explained where required.

Privacy questions and complaints should first be sent to the Rymetrix privacy contact. If a concern is not resolved, you may have the right to contact the Office of the Privacy Commissioner of Canada.

10. Privacy breaches

Rymetrix will assess suspected privacy breaches, keep required records, and notify affected individuals and the appropriate regulator when required by applicable law.
